Build a licence register that matches the real business
- Record the licence or registration type, issuing authority, issue date and the operating location it applies to.
- Keep annual-fee or renewal dates separate from the issue date and reject impossible calendar dates or dates that move backwards in the licence history.
- If a business operates from more than one location, do not let a licence from one tenant or location be attached to another by mistake.
- Keep the supporting licence document or payment evidence linked to the control instead of relying on a status label alone.
Annual fees, renewals and “valid indefinitely” licences
- Some Botswana trade or business registration certificates can remain valid while annual fees still recur. Operationally, that means a business can have a document that looks current but still miss an annual action.
