Separate reusable evidence from bid-specific requirements
- Company records, tax evidence, licences and other approved documents may be reused across bids when they remain current and relevant.
- Each tender still needs its own checklist because issuing entities, procurement methods and mandatory submission requirements vary.
- Closing dates, clarification deadlines and compulsory requirements should be tied to the specific tender rather than treated as general company deadlines.
- A readiness score should never be interpreted as a guarantee of responsiveness, award or eligibility; the official tender document remains controlling.
Use evidence status, not file presence, as the control
- A file in a folder is not automatically suitable evidence. The workspace distinguishes uploaded, malware-cleared, reviewed and approved evidence states.
